Initial situation
The employee contract creation process within a company of several international subsidiaries had to be automated by providing a comfortable and familiar user interface. Process transparency was supposed to be achieved by straightforward monitoring functionalities and a hierarchical and consistent permission model.
Objectives
The goal of the process automation in application management was to reduce process cycle time and thereby minimizing contract rejections of candidates due to high response times. For this purpose clear responsibilities and transparency were established throughout the entire process. An improvement in data quality and a decrease in manual administration effort were also aspired.

- Detailed process modelling and elaboration of a professional and technical solution design
- Development of the solution based on Microsoft Office SharePoint Server and Microsoft Office InfoPath
Benefits and results
The implementation of the new solution led to a reduced process cycle time: Activities are assigned to specific roles and are tracked whereby violations of defined response times become apparent. The complete process transparency increased the overall process quality: An overview of the entire candidate pool – grouped by the individual process phases – is created automatically and corresponding KPIs are available.
The costs of application management have been decreased: manual administrative efforts are no longer necessary, tailored information provision and user-friendliness of the user interface was achieved.
