All project information at a glance: If it’s contact information, team calendars, project documents or activity lists – one single platform supports project work even through company borders.

Initial situation

An international operating franchise group, demanded for a central collaboration and communication platform that was intended for cross-company projects. Through a role and permissions concept, internal and external employees were provided with differentiable access rights which allow the exchange of documents for instance. In order to assure a worldwide usage, a web-based system was preferred which runs without any further client installations.

Objectives

All employees were supposed to be able to work with the IT solution without having to go through an extended training period and were supposed to be able to apply the same processes for all projects. Project documentation is created nearly automatically while working on the project. This leads to savings as the project does not need to be documented manually. Apart from the secure processing of documents due to simple check-in/ check-out functionalities, a versioning and approval management had to be realised as well.

Our Approach

  • Assessment of the current IT infrastructure, identification of improvement potentials
  • Detecting and prioritising the requirements, elaboration of the statement of work and the roadmap
  • Conceptualising the requirements into a solution design based on best practices
  • Set up of a solution based on Microsoft Office SharePoint Server

Benefits and results

The system affects the transparency of project information in a positive way. Due to versioning and approval processes, the involved parties are always up to date with the project’s current status. The simple and secure exchange of information can bring projects on track faster and makes them deliver results of higher quality.

The throughout standardisation of the project repository makes time-consuming searches for latest information obsolete. Thereby role-specific views help employees focusing on the essentials. In addition the capacity to inform your clients, sponsors and other stakeholders quicker and better will be increased.
