More tools. More communication. And yet, nearly half of all digital workers still struggle to find the information they need to do their jobs. The obvious response is often to create better content, add more structure, or introduce yet another channel. But the real challenge runs deeper. The bottleneck is not the content itself, but employees access to information and work. In todays digital work environment, employees constantly switch between different tools, platforms, and systems. Each one follows its own logic, has its own entry points, and contains its own content. There is an intranet for news, separate systems for HR processes or project management, and additional business applications for specific areas of work. The information exists, but it is spread across too many interfaces.

This fragmentation is continuing to grow. With the rise of AI applications and agents, additional interfaces and access points are emerging. Yet the underlying challenge remains the same: employees often lack a clear entry point into information, processes, and systems. Orientation becomes difficult not because content is missing, but because access to work and information is fragmented. When information, processes, and applications are distributed across an ever-growing number of systems, attention naturally turns to one place that many companies have long positioned as a central entry point: the intranet. In recent years, many intranets have evolved into social intranets, with a strong focus on communication, dialogue, and interaction. News can be shared quickly, comments and communities encourage exchange, and corporate culture becomes more visible. For these purposes, social intranets are well suited.

But as work becomes increasingly digital, expectations for these platforms are rising as well. Employees do not only need information and exchange. They also need direct access to the tools and workflows that shape their daily work. Adding another communication channel does not automatically create better orientation. As social intranets increasingly reach their structural limits, one idea is moving back into focus: giving employees a central entry point into their digital workday.

Portals like these have existed before. Their main purpose was to bring information, applications, and system access together in one place. With the rise of social intranets, this direct access increasingly moved into the background.

This aspect is now becoming important again, but at a more advanced level. The key difference compared with earlier portals and the quick-link collections found in many intranets lies in the native integration of systems and processes. Applications are no longer simply linked. They are embedded directly into the interface. As a result, employees no longer have to constantly switch between different systems. Processes such as vacation requests, time tracking, or access to delivery times and SAP data take place directly where the workday begins.

This development is currently visible in many digital workplace and intranet projects. Companies no longer want to operate systems such as SAP, ServiceNow, or Workday as separate interfaces. Instead, they want to integrate them more deeply into employees everyday work environment. Taken to its logical next step, native integration alone is no longer enough. Integrated portals bring systems and processes together in one place. With the Employee UI, this evolves into a role-based work interface that brings together information, processes, applications, and increasingly AI support through one central entry point.

The goal is not to replace existing business applications. Employees who spend most of their day working in systems such as SAP or Workday will continue to use them directly. Instead, the Employee UI creates orientation wherever digital work is distributed across numerous applications, information sources, and processes.

Not every employee sees the same interface. Instead, they see the information, tasks, and processes that are relevant to their daily work. Employees at warehouse locations need current delivery data. Sales teams need direct access to CRM data and customer context. HR needs different processes and content than production. The interface is therefore no longer based on a uniform structure for everyone, but on the specific work context of each role.

AI also fits into this picture, though not in the way it is often imagined. It is not a generic chat interface for all employees, but contextual support embedded in the relevant work environment. Depending on the role, different agents and AI capabilities are available where they are actually needed, for example an SAP agent in procurement or an HR agent for people-related topics. In this way, the Employee UI becomes the interface through which employees receive the AI support that fits their work context. It becomes the UI for AI. The shift in perspective that follows is not primarily a technical one. Internal communication already shapes far more than content alone. With integrated work interfaces, however, an additional responsibility moves more clearly into focus: helping employees navigate the digital workday and access information, processes, and systems.

Those who help shape these interfaces increasingly influence how employees work, find information, and experience digital processes. This also broadens the way companies need to think about the intranet. In addition to asking what content should be communicated, it becomes increasingly important to ask how the entry point into digital work is designed.

As a result, the intranet is evolving from a content channel into an integrated work interface. Communication, information, processes, and system access are growing more closely together. Companies are no longer just building an intranet. They are increasingly building the central interface through which employees organize their personal digital workday. The first step is not a technology decision, but an assessment of the existing work reality. What matters is not which platform should be introduced, but how employees actually work today and through which interfaces they access information, processes, and systems. This analysis helps identify meaningful entry points where communication, information, and processes can be brought together more effectively. Successful initiatives often do not start with a complete redesign, but with a few specific processes and use cases that create immediate value in everyday work.

Are you interested using Project for the Web to plan your projects? You may be wondering how to make this tool evolve so that it also fits your needs, processes and methods for project and portfolio management.

New features from Microsoft as well as the Project Accelerator offer this possibility in the form of an app that you can customize with the Power Platform. Since November 2019, the Microsoft project planning tools family has been enriched with the arrival of Project for the Web. It is true that the Microsoft offer for this type of tool was positioned in between Project Online, a complex and feature rich project and portfolio management solution, and Planner, a tool that was on the contrary very simple and intuitive but too far away from the classic needs of project management. Project for the Web provides the ideal tool for a population of users that Microsoft calls "occasional project managers" or, more generally, users with little training in planning techniques or whose needs do not require the implementation of complex solutions: complete and native integration with Microsoft 365, simple and very intuitive to use, very fast implementation and a tool designed for collaboration.

With Project for the Web, the creation of a project plan is fast and, in a few minutes, it is possible to build a task schedule that can be assigned to team members. The views allow to create the basis of a plan structured in tasks/subtasks, an identification of the resources that will carry them out as well as an estimation of the durations and/or workloads. To take the good ideas from Planner, it is possible to see the project as a Kanban. And to take up the good ideas of Project Online, it is also possible to position the tasks in time to have a Gantt Chart type view. No more toolbar, no more save, no need to be initiated to planning methodology, this solution has everything to please. But, even if you have modest needs and you are not an experienced project manager, you quickly reach the limits of what you can do with Project for the Web. The functionalities are limited, and one would like to be able to do more, that is the paradox.

Having said that, Project for the Web is a solution in perpetual evolution, to which Microsoft adds new functionalities at a very fast pace in 2021 (see this link for planned updates https://www.microsoft.com/en-us/microsoft-365/roadmap?filters=&searchterms=project). 

But Microsoft can only deliver generic functionalities, useful to the greatest number of people, but cannot foresee the specific needs of each one. There is no doubt that the most requested needs will eventually be made available by Microsoft, but they will be provided in a generic form that everyone would like to adapt to their needs. 

The need to consolidate projects into programs or portfolios to provide management with a global view of the activity, advanced characterization of projects to add personalized data (the name of a sponsor, a budget) that can be consolidated between projects, data linked to projects (lists of risks or problems, key milestones) are all customizations that will make it possible to make projects consistent and aggregate information.   The Project for the Web solution is an "App" built on the Power Plaform (Power Apps, Power Automate and Power BI), it is easy to make it evolve. Power App allows to upgrade the data model to add fields and lists of elements linked to each project or task to address specific needs.

As it is not easy to develop from the ground up around the Power App to make the Project for the Web app better, Microsoft has made Project Accelerator available. This tool proposes several scenarios to evolve Project for the Web: And with Project Accelerator, everything is customizable. See a field that's not relevant to you? Delete it! Want a different set of choices for fields like strategic alignment? Great! Change them! Most changes don't even involve writing code. Just go into Power App, update the tables, update the forms, and the changes are inline.

It is also possible to create charts and dashboards, directly in the app or with Power BI, that are completely customizable. You can also integrate your processes with Power Automate, with the creation of flows that orchestrate data flows around projects.

To deploy the Project Accelerator in your environment, start by going to GitHub. There, you will find information on how to deploy it, a Power BI template you can run alongside it, and details on the licenses you'll need to run it. There is no miracle solution to address all project management needs but having the possibility to start from a solid foundation to build your own solution is an opportunity to have a relevant tool that meets your expectations.

It is even possible to go even further along the same path by creating a more ambitious Power Apps to go beyond Project Accelerator and develop a more complete data model, with data orchestration with Power Automate and, why not, the integration in the same tool of several different sources.

With Planner and Project for the web, flexible light-weight solutions for the occasional project manager exist, to quickly ramp-up individual projects and plan tasks with the team. But how to keep track of all the Teams and the corresponding projects, what their project status and their timeframe is? Currently, many PMOs and department heads still maintain shared Excel spreadsheets, link lists in OneNote or some other form of manually maintained list, struggling to remain on top of their initiatives. The need for PMOs and departments to keep an overview over their projects is not new and replacing Excel lists with a modern but still easy to use approach has always been a tradeoff between project complexity, tool functionality, and - obviously the budget for a tool.

With the combination of Dataverse for Teams and Power Apps Microsoft offers an option for a customizable Project Management app, as jump-start for Project and Program Management Offices. This simple solution can flexibly adapt to any future rise in PM maturity. Based on the licence packages for Microsoft 365/ Office 365, that are already available at many companies and that also contain options for app implementation with Power Apps as well as structured data storage with Dataverese for Teams, no further licenses are required for the above mentioned use case. A strong advantage for all enterprises that already implemented M365 and Teams. A central Teams team run by the PMO serves as the main hub where project managers can access PM guidelines and templates and exchange on PM best practices within the PM community (Learn why maintaining a community is a powerful change driver). With the Project Management app integrated into the PMO Team, an overview over all currently active projects and the corresponding Teams teams becomes available to everyone: Decision-makers appreciate the central aggregation and can focus on critical projects only. And PMO leaders can make sure that not a single project is overlooked within the multitude of Teams teams. At the same time, the overview serves as a hub to initiate new projects and create the corresponding Teams team for a new project. Customized Teams with specific Teams channels, already integrated tabs for Planner, OneNote and PowerBI can help to support project teams in maintaining similar structures across projects and adhere to PMO guidelines.

For agile PMO leaders, alternatively a Kanban-style view is available to build backlogs of initiatives and to visually align with card-based tools like Planner. Key project information is oftentimes kept in individual documents, Word files and PowerPoint-based status reports, or not at all. To facilitate the everyday work of project managers and enable them to keep all stakeholders up to date, the main project information can be edited within the Teams team for the project via the Project Management app. The information becomes instantly available not only to the project team but also to the PMO via the project overview in the central PMO Teams team. With increasing project management maturity, project volume and complexity, an upgrade to an advanced solution for modern project management integrated into Microsoft Teams can easily be achieved: Using an upgrade in the license model, Senior PMOs will find their key requirements met by the advanced Power App solution like the CS PPM Power Suite. Also based on the Microsoft Power Platform, but with a significantly greater feature set for more use cases in Project Portfolio Management.
